Parish Administrator

Position Overview

The Parish Administrator is the public face of our dynamic church community. We are
seeking a compassionate person with strong office management skills, able to welcome
visitors in person and on the phone, support the clergy and executive council, prepare
printed and online materials, assist with bookkeeping and the website, schedule the use of
church facilities, maintain confidentiality, manage time well and work to deadlines. A tall
order, but a challenging and rewarding career in a caring environment.

Duties


1. Clerical, Reception and Communications
-  Prepare printed and online materials: e.g. bulletins, handouts, giving envelopes, annual
reports, event tickets
-  Assist with advertising of church services
 - Prepare reports for submission to the synod office
 - Receive visitors to the office and respond to telephone and email inquiries
-  Direct incoming mail to the appropriate recipient and prepare outgoing mail
-  Maintain parish records: e.g. parish directory, documents, minutes
 - Assemble and distribute materials for parish council or other meetings
 - Arrange for volunteers to participate in Sunday and/or weekday services


2. Technical
 - Assist with website and other social platforms
 - Secure appropriate copyright information for music and liturgy texts
 - Maintain office equipment and arrange for servicing when required


3. Facilities
- Manage calendar of events and rental or use of church facilities for special services
- Maintain office, worship and hospitality supplies
- Manage cleaning staff, ensuring facilities are clean and well-maintained


4. Financial
- Prepare cheques for signature
- Issue donation receipts for occasional donors
- Manage petty cash
- Assist bookkeeper, envelope secretary and treasurer with financial record keeping

Qualifications and Skills


Software: Quickbooks, Microsoft Office, Handy Backup, PowerChurch Plus.
Website maintenance.


Ability to manage time, handle many competing tasks, meet deadlines, work with clergy,
volunteers, parishioners and the general public, deal with confidential information.
Educational background and experience in office administration and secretarial skills.
Familiarity with the Anglican Church would be helpful.


Criminal Record Check is required.


Job Specifications


20 hours per week, Monday to Friday.
Reporting: The Rector and Executive Council (wardens) are responsible for overall
supervision and annual review. Day to day reporting is to the Rector.


Salary: $30,000-$40,000
